This notice explains how Crit Happens collects, uses, and protects your personal information. It applies to members and guests who use our website at crithappens.club and who attend our sessions and events.
Crit Happens is a tabletop gaming club based in Lincoln. We currently run as an informal, unincorporated members' club, and we are in the process of applying to register as a Community Interest Company (CIC). For data protection purposes we are the “data controller” for the information we hold about you. If you have any questions about this notice or your data, contact us at crithappensuk@gmail.com.
When you register and use your account, we collect:
We do not collect any special-category data (such as health, ethnicity, or religious information).

Our booking system lets members tag each other as opponents in a game or as players in an RPG party. When this is switched on for your account, your name appears in the search list that other members see when they create a booking, so they can tag you. Members are opted in by default to make booking games easier.
You can opt out at any time by unticking “Allow other members to tag me in bookings” on your profile page. Once you opt out, your name no longer appears in that search list. You can still make your own bookings and tag others.
The emergency contact details you provide are about another person. By giving us their details you confirm that they are happy for you to share them with us for this purpose. We only use these details to contact that person if there is an emergency involving you at the club.
We never sell your data or share it for marketing. We share it only with the service providers who help us run the club, who act as our data processors:
These providers process your data on our instructions. Some may process data outside the UK; where they do, they are covered by appropriate safeguards.
We keep your account and membership data for as long as you are a member, and for up to 24 months after your last activity or membership expiry, after which we delete or anonymise it. Financial records may be kept longer where we are legally required to do so. You can ask us to delete your data sooner (see your rights below).
Your data is stored on secured hosting and transmitted over an encrypted (HTTPS) connection. Passwords and security tokens are stored only in hashed form. Access to member data is limited to club committee members who need it.

We use a small number of functional cookies that are necessary to keep you logged in and to remember your session. We do not use advertising or tracking cookies.
If you are unhappy with how we handle your data, please contact us first so we can put it right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
We may update this notice from time to time. The date at the top shows when it was last changed.
